By default, Smart Address will populate the ‘Map Ref’ field on the client record with latitude/longitude and will overwrite any content that already exists in that field.

You’ll create an online account and purchase a Credit Plan directly with our partner, PCA Predict. Each time you Capture an address in RoboVet, the cost will be deducted from your Plan.

Once you have completed the HSVS Smart Address Registration, we will provide you with a special link to enable you to create an online account directly with PCA Predict and purchase your Credit Plan from there. Within your account you can also you can run reports on utilisation and manage your contact and payment details. It is important that you use the link we provide to ensure your account is set up correctly.
Credit is deducted from your Credit Plan each time a user selects an address from the search results to populate the client record in RoboVet. We would suggest that the number of new clients you would expect to register in a 12 month period (across all surgeries if you run a multi-branch practice) gives a good indication of the number of times your users are likely to Capture an address in RoboVet. RoboVet’s reporting functionality can give you this information and help make your decision. You can always purchase a different Credit Plan in the future if you find that circumstances have changed.
Please note that Royal Mail licensing regulations mean any unused credit will expire 12 months after purchase from PCA Predict. We ask you to enable auto-renew when purchasing your Credit Plan to ensure that your Credit is automatically topped up whenever it expires or is used up. This ensures that your Capture service is never interrupted.
We will submit client, alternate client and client contacts addresses for all clients marked ‘active’ who have been in the practice in the last 5 years.
PCA Predict tell us how reliable each result is and we only import the highest quality results back into your RoboVet system. This means that some client address will not be changed.
Where an address that is already correct, in terms of content, is sent to PCA Predict they will return the same address and therefore validate your existing data. However, even if no change has been made to the content, it is likely that the format will have been updated in line with the Royal Mail Postcode Address File (PAF®).
Please note that PCA Predict can also provide optional latitude and longitude information for addresses looked up using Capture, however this is not applicable to existing addresses that are put through the Cleanse process.
Where PCA Predict is able to Cleanse an address to the highest quality standard, we will import this back into your RoboVet system. Any content of the original address that is not in line with the Royal Mail Postcode Address File (PAF®) will be lost. Please note that this includes County.
The whole process takes approximately one hour for a single site practice plus 15 minutes per additional site. However this depends on factors such as server speed and the number of records.
No, however we will ask that you do not edit any existing client addresses while the process takes place. Your system may run slightly slower during this time and there will be no syncing until the process is complete.
Once you are up and running with Smart Address, you will no longer have access to the existing postcode lookup functionality and HSVS will cease to charge you for that product.
